Security and Controls for Your Firm's Call Data

Virtual-assistant and recording notices in the greeting

Your receptionist identifies itself as a virtual assistant and gives a recording notice at the start of each call. These greeting notices are mandatory, including when you adjust other intake settings.

  • Open disclosureCallers hear that a virtual assistant is answering as your firm before intake proceeds.
  • Recording noticeThe greeting includes the required notice rather than leaving callers to discover recording later.
  • Firm boundariesIntake also states that the call does not create an attorney-client relationship with your firm.

Callers should understand the receptionist's role before providing intake information. We require the virtual-assistant identification and recording notice in the greeting; your firm cannot switch those notices off through its settings.

Firms can separately choose no recording. Review that option alongside your intake process and listen to the greeting during your test call. The receptionist begins with parties' names and collects only the facts your firm needs for the next step. Our intake boundaries explain how advice requests and representation questions are handled.

Separate firm data, service providers and retention periods

We maintain per-firm data isolation and use service providers to process and store call information. Your dashboard holds call records; recordings, transcripts and summaries follow the retention periods described below.

  • Firm separationEach firm's call information is maintained separately through per-firm data isolation within the service.
  • Provider rolesHosting, storage, telephone and AI services process information needed to operate your receptionist.
  • Retention limitsRecordings expire under your chosen period; account closure also starts deletion of transcripts and summaries.

Hosting and storage providers hold service data, while telephone carriers and AI providers handle call processing. We also use providers for email delivery, payment processing and analytics. We do not specify a storage country or hosting region here.

Your firm receives call information through alerts and its dashboard. Recordings are retained for your selected 30 or 90 days, then deleted. Transcripts and summaries remain while your account is open and are deleted within 30 days after closure or on request. We never sell personal information or use callers' data for our own marketing.

How AI providers process the information from calls

AI model providers process voice and text to operate the receptionist. The AI model provider, OpenAI, does not use our API data to train its models by default, and your firm controls the intake information requested.

  • Voice and textAI processing supports the conversation, transcription and preparation of the intake information you receive.
  • Training defaultOur AI model provider, OpenAI, does not use API data for model training by default.
  • Focused intakeSet questions that collect the facts your team needs without inviting unnecessary matter details.

The receptionist uses AI services for voice and text processing, so call information passes through those service providers. OpenAI's default for our API data is no model training; that statement does not mean the call avoids AI processing or storage within the service.

Your firm decides which questions intake should ask and reviews the resulting records. Parties' names come first, followed by limited information for attorney review. If you need a provider detail that is not stated here, contact support@legalansweringpro.com before sending the information you are assessing.

Recording controls and privacy requests serve different purposes. Choosing no recording concerns stored call audio; transcripts and summaries have their own retention terms. Decide which option fits your firm's intake before forwarding calls.

For an access, correction or deletion request, email privacy@legalansweringpro.com and describe the account or call concerned. Callers can ask your firm or us about their information, with your firm deciding what its intake collects and why. Read the full privacy policy for the categories of information we collect, the service providers involved and the retention periods that apply.

Evaluate the recording choice, retention periods, provider processing and proposed questions against your firm's requirements. Keep a backup way for callers to reach you, and use fictional information when testing the public demo. Send specific service questions to support@legalansweringpro.com and privacy requests to privacy@legalansweringpro.com before using the receptionist for information you have not assessed.
