Give callers a next step while your team is occupied

Your receptionist can take intake calls while your team is in court, meeting clients or away from the desk. Callers get a defined next step instead of waiting for office hours.

  • Court and consultationsCollect caller details while attorneys focus on scheduled work.
  • Lunch and eveningsAnswer forwarded calls when your front desk is unavailable.
  • A useful callbackGive your team names, contact details and the caller's request.

A missed inquiry can mean losing the chance to speak with a prospective client. An existing client may also need to leave an update while your office is closed. Our law firm answering service gives those callers a way to explain what they need within the boundaries you set.

Choose which calls reach your receptionist: all calls, unanswered calls, busy calls or calls after hours. It collects parties' names before matter details and follows your instructions for booking or callbacks. An attorney reviews the matter; the receptionist does not evaluate a case or predict its outcome.

Collect intake details and flag urgent matters

Your AI receptionist asks for parties' names first, then collects the limited facts your firm requests. It flags urgent matters, records a useful message and follows your booking or escalation instructions.

  • Names before detailsGather parties' names for your firm's conflict review first.
  • Urgent mattersRoute arrests, court today and protective order calls to your designated attorney.
  • A reviewable messageReceive the caller's request, urgency tag and transcript for follow-up.

Your receptionist begins with virtual-assistant and recording notices and explains that the call does not create an attorney-client relationship. It gathers parties' names before asking the intake questions you approved. Collecting names supports your conflict process; your firm makes the conflict determination.

For an arrest tonight or a court appearance today, it follows your on-call order, with the attorney hearing a brief summary before pressing 1 to accept a warm transfer. For other inquiries, it can book a consultation in Google Calendar or take callback details. It gives no legal advice or deadline answers, and quotes fees only when your firm has supplied them.

Try the fictional scenarios to hear how the receptionist handles different requests. Request legal advice and listen for the receptionist to defer judgment to an attorney and offer a consultation. Try an existing-client update or family-law consultation to see how the next step changes.

Use invented names and circumstances. The demo call is recorded and transcribed so you can inspect the summary and other call details afterward. No signup is needed for the standard scenarios. Open the full scenario demo to try the calls and review what your office would receive.

A 24/7 legal answering service works from the calls your phone system forwards to it. We provide a local number, a forwarding guide for your carrier or phone system and a test call before you go live. You can keep your existing business number.

After each call, email and app push alerts give you the summary, urgency tag, transcript and recording when recording is enabled. A daily digest helps you review activity. Consultations can go into Google Calendar, while callers who need a callback leave their details. See the call setup process for the steps from onboarding to forwarding.

Choose between AI, live answering and voicemail

Choose AI for structured intake and routing, a live receptionist for human judgment in conversation, or voicemail for a recorded message. Test the handling of your firm's actual call types before deciding.

  • AI receptionistApply your intake instructions, arrange consultations and route urgent matters.
  • Live answeringA person can respond to nuance and ask context-sensitive follow-up questions.
  • VoicemailTake a recorded message for your team to hear and return later.

The right choice depends on what you want the first conversation to accomplish. A live receptionist brings human judgment to a distressed or complicated caller. Voicemail suits a process where your team listens and returns the call later. Our AI receptionist follows the intake and routing instructions your firm provides.

AI can make mistakes, so your team reviews the summaries and keeps a backup way to be reached. Use a fictional call to test a difficult request, an urgent matter and an ordinary booking. Judge the result by the information your staff would need to take the next step.

07

Use call summaries alongside your practice software

Your team can enter call summaries into the practice software it already uses. Direct practice-management connections are not live; consultation booking into Google Calendar is available now.

  • Practice recordsEnter the summary into your chosen matter or contact record.
  • Consultation calendarBook appointments into Google Calendar using your firm's booking instructions.
  • Connection requestsTell us which direct software connections would help your intake process.

Your legal office answering service supplies information for your team's existing intake process. If you use Clio Grow, Clio Manage, MyCase or Lawmatics, staff can review the call summary and enter the relevant details themselves. The same manual step applies to Filevine, Smokeball, PracticePanther and Lead Docket.

Direct connections to practice-management software are planned according to demand. Today, Google Calendar booking is available, and the dashboard holds your calls, transcripts, recordings, usage and settings. Read the current software connection status when deciding how your team will move information into its records.

08

Set your intake instructions and make a test call

Set up your firm through an onboarding chat, then make a test call before forwarding real callers. Check names-first intake, consultation handling and the route to your on-call attorney.

  • Describe your firmProvide practice areas, exclusions, hours and approved intake questions.
  • Set the urgent routeChoose who receives urgent calls and in what order.
  • Test your instructionsCheck a booking, an unfamiliar question and an urgent caller.

Our onboarding chat asks 10 to 15 questions and uses your website to learn your firm's services and policies. Explain what you handle, what you decline, which facts to collect and which requests need the on-call attorney. Supply any approved fee information rather than leaving the receptionist to infer it.

Make a test call before enabling forwarding. Listen to the greeting, try a new inquiry and check the resulting summary, then confirm that your urgent contact can accept the warm transfer. You change settings by telling the AI in plain words. A card is required before call forwarding goes live.

09

Ask how intake, urgent calls and records are handled

Ask any answering service, including us, to demonstrate intake boundaries, urgent call routing and the records your team receives. A demo conversation shows more than a feature list about your firm's daily use.

  • Intake boundariesAsk when names are collected and how legal questions are declined.
  • Urgent call handlingCheck who is contacted and how the transfer is accepted.
  • Record controlsAsk about recording choices, retention and your staff's review process.

Ask the provider to walk through a prospective client naming an opposing party, a caller asking for a filing deadline and an existing client seeking advice. Check that the next step stays within your firm's instructions and leaves legal judgment with an attorney.

Test your urgent route, inspect the message your staff would receive and ask about recording choices, retention periods, account cancellation and the backup route if service lapses. With us, firms can choose no recording, or choose a recording retention period. Your firm supervises the receptionist and reviews its work. Use a fictional intake test to assess those boundaries yourself.

Questions

Does the AI receptionist give legal advice?

No. Your receptionist collects the facts your firm requests and leaves legal judgment to an attorney. It does not evaluate cases, answer deadline questions or promise outcomes. When a caller asks for advice, it explains that an attorney will review the request and get back to them.

Does it run a conflict check?

It collects parties' names before asking for matter details, supporting your firm's conflict screening process. Your firm performs the conflict review and decides whether it can proceed. Configure the intake to collect only the information your team needs for that initial review.

Can we turn call recording off?

Yes, firms can choose no recording. If you keep recordings, select a retention period of 30 or 90 days. The virtual-assistant and recording notices in the greeting cannot be switched off. Review the recording setting as part of your firm's setup and supervision.

Does a call create an attorney-client relationship?

The receptionist states that the call does not create an attorney-client relationship. It takes intake information, arranges a consultation or passes a message to your team according to your instructions. An attorney reviews the request, and the receptionist makes no promise about accepting the matter.

Can it book consultations and speak Spanish?

Yes. Your receptionist can book consultations into Google Calendar or take details for your staff to arrange a callback. It speaks English and Spanish, and callers can switch languages during a call. Use the fictional Spanish-speaking immigration scenario to hear the intake before configuring your firm.

Can I keep my business phone number?

Yes. Keep your current number and forward the calls you choose to the local number we provide. You can forward all calls or use busy, no-answer or after-hours forwarding. We provide a guide for your carrier or phone system and a test call before activation.

How will my team receive messages and urgent calls?

We send an email and app push alert for each call, plus a daily digest email. Call details include a summary, urgency tag, transcript and recording when enabled. Urgent matters follow your chosen order for a warm transfer to the on-call person or a page to them.

What happens when the receptionist does not know an answer?

The receptionist takes the caller's request for your team instead of making up an answer. For legal questions, it says an attorney will review the request and get back to the caller. Your team reviews summaries and can update instructions through the dashboard's AI settings chat.
