Book consultations when your team cannot answer

Your receptionist offers consultation booking on calls you forward, including after hours. It follows your intake instructions so scheduling starts with parties' names and the limited information your firm needs.

  • Consultation bookingGive callers a next step while your team handles other work.
  • Names firstCollect parties' names before asking for details about the matter.
  • Callback choiceTake a message instead when your firm prefers to arrange consultations.

A consultation request can reach your firm during a meeting, a hearing or an evening away from the office. Your receptionist answers as your business once those calls forward to it, then follows the intake questions you supplied.

Booking gives the caller an appointment for attorney review. It does not mean your firm has accepted representation or that the AI has evaluated the matter. If your staff must review names before offering a time, choose message taking and arrange the consultation yourselves.

02

From the greeting to the consultation booking

The call starts with virtual-assistant and recording notices, then parties' names before matter details. Your receptionist follows your questions, books a consultation or takes a message, and emails your team the call summary.

  • Clear greetingCallers hear that they reached a virtual assistant and are recorded.
  • Limited intakeAsk your firm's questions after collecting names for conflict review.
  • Call recordEmail and app push alerts bring your team the consultation context.

For a family-law consultation, the receptionist collects the parties' names before inviting a description of the request. It asks only for the facts your firm needs and makes clear that the call does not create an attorney-client relationship.

It can then book into Google Calendar or record the information for a callback, according to your instructions. Your call alert includes a summary, urgency tag, transcript and recording. Your team reviews the intake and handles the firm's conflict decision; the AI does not clear a matter for representation.

03

Set your intake questions and booking approach

You decide which services the receptionist describes, which intake questions it asks and whether it books or takes messages. Onboarding also establishes your urgent matters and the attorney who should receive them.

  • Practice scopeExplain the matters your firm handles and those it declines.
  • Booking approachChoose Google Calendar appointments or details for your team's callback.
  • Urgent contactName the on-call attorney and set the order for escalation.

We learn your firm's instructions through an onboarding chat and the website you provide. Include your practice areas, hours, intake questions and any consultation fee policy you want the receptionist to state. It only quotes fees your firm has supplied.

Tell the AI when a booking request should become an urgent call, such as an arrest or court appearance today. You can change settings in plain words from the dashboard. Before forwarding live calls, make a test call that covers both an ordinary consultation and an urgent request.

04

Keep legal decisions with your attorneys

The receptionist schedules attorney review without giving legal advice, assessing a case or answering deadline questions. It sends urgent matters to your on-call attorney using the escalation instructions your firm sets.

  • Attorney reviewQuestions about case merits stay with your firm's legal team.
  • No deadline answersThe receptionist takes the request for an attorney to address.
  • Urgent routingArrests, court today and protective-order matters follow your escalation instructions.

If a caller asks whether they have a case, the receptionist responds that an attorney will review the request and get back to them. A calendar appointment is a next step for that review, without an outcome promise.

Urgent calls follow a different path from routine scheduling. Your on-call attorney can receive a warm transfer, hear a short summary and press 1 to accept, or receive a page in your chosen order. See the firm's role in supervising intake when planning your instructions.

Open the family-law consultation demo and speak as a prospective caller to the fictional business. Ask to arrange a consultation, then notice which questions come before any discussion of the matter. Use invented details throughout the exercise.

The demo shows the conversation; your own firm's booking instructions come during onboarding. Request a free trial for consultation booking; during your trial, choose between calendar booking and callback messages. Test the approach your staff will actually use before you forward business calls.

Questions

Can the AI receptionist book consultations in Google Calendar?

Yes. Your receptionist can book appointments into Google Calendar, or take details so your staff can call back. Choose the approach during onboarding, including the intake questions it should ask. Your team remains responsible for reviewing the request and deciding whether to represent the caller.

Does the receptionist run our conflict check before booking?

It collects parties' names before asking about the matter, giving your firm the starting information for conflict review. It does not search your practice-management system or decide that a conflict is cleared. Choose callback messages if your staff needs to complete its review before scheduling.

Will callers know they are speaking with AI?

The greeting identifies the receptionist as a virtual assistant and tells the caller that the call is recorded. Those notices cannot be switched off. The receptionist also states that the call does not create an attorney-client relationship, so a consultation booking carries no representation promise.

What happens when a consultation request is urgent?

You define urgency and the on-call contact during setup. An arrest, court today or a protective-order matter follows your urgent routing instructions. The attorney can hear a short summary before accepting a warm transfer, or receive a page in the sequence you set.

Can I try the booking conversation before requesting a free trial?

Yes. The browser demo needs no signup and includes a fictional family-law consultation scenario. Use invented names to test intake and the response to legal questions. Request a free trial; we'll email your sign-in link when ready. Then configure your firm's instructions; a card is required before call forwarding goes live.
