Capture closing requests while your attorneys are occupied

Your receptionist answers forwarded calls while your team handles closings and consultations. It records the caller's request for attorney review rather than trying to resolve a title question.

  • Closing messagesTake the caller's contact details and the request your team needs reviewed.
  • Title questionsRefer questions about title issues to your firm without offering legal conclusions.
  • New consultationsGather names first, then offer booking under the instructions your firm provides.

Calls about a property transaction can interrupt the work needed to complete it. Your receptionist takes the limited details your firm requests and separates a consultation request from a message about an existing matter. Your attorneys decide the legal response.

You set the services covered and the circumstances that warrant contacting your on-call person. The receptionist can answer day and night once calls forward to it, giving a caller somewhere to leave a request outside office hours. Your team receives a summary and urgency tag by email and app push notification.

02

Turn a property call into a clear attorney handoff

Your receptionist identifies itself, gives the recording notice and requests parties' names before matter details. It then takes a closing message, routes urgency or books a consultation.

  • Start with disclosureTell callers they have reached a virtual assistant and give recording notice.
  • Collect names firstAsk for the parties' names so your firm can review conflicts.
  • Choose the next stepFollow your instructions for a message, appointment or urgent transfer.

When someone calls about a closing, your receptionist uses the questions approved by your firm. It can capture contact details and the reason for the request without interpreting a contract or deciding whether a title concern affects the transaction. The call does not create an attorney-client relationship.

Your firm defines which circumstances require a warm transfer or page. Routine questions become messages for review, while new consultations can be booked into Google Calendar. A summary and transcript let your team review what the caller said before returning the call.

03

Set closing intake questions and consultation instructions

You specify your firm's real estate services, message questions and urgent contact instructions. You also decide whether callers book a consultation or leave information for your team's callback.

  • Services coveredDefine which transaction types and real estate matters your practice handles.
  • Message requirementsSelect the limited information your team needs before returning a property call.
  • Coverage settingsChoose forwarding conditions and the attorney contact order for urgent requests.

We build your receptionist's instructions from your website and the onboarding chat. Explain your practice scope, hours, consultation process and what makes a closing request urgent for your team. Give only the intake questions your firm needs, with parties' names requested before substantive details.

You can keep your current business number and change settings through plain language instructions to the AI. Check the forwarding and onboarding steps before testing your setup. After a test call, review the summary and adjust the questions or urgent contact order as needed.

04

Refer title conclusions and contract advice to your lawyers

Your receptionist does not interpret contracts, assess title or answer legal deadline questions. It captures the request and leaves the legal analysis and next steps to your attorneys.

  • No title opinionsRecord the caller's concern without deciding whether ownership or title is clear.
  • No contract adviceSend questions about documents and obligations to your firm's attorneys.
  • No closing promisesTaking a message does not confirm that a transaction can proceed.

A caller may ask whether a title issue prevents closing or whether a contract provision protects them. Your receptionist does not interpret the documents or offer a legal conclusion. The response stays within intake: an attorney will review this and get back to you. Your contact instructions determine where the message goes.

Urgency tags help your team identify requests to review; they do not determine legal deadlines. Your firm supervises the tool, checks summaries and maintains a backup contact route. The AI can make mistakes, so attorney review remains part of the workflow.

Try the intake approach before testing your firm's calls

The browser demo shows how the receptionist collects names and handles requests for legal advice. When trials become available, test the closing intake questions and routing you configure.

  • Hear the approachUse a fictional demo scenario to check the receptionist's intake boundaries.

The interactive receptionist demo uses fictional scenarios, including a caller asking whether they have a case. That conversation lets you hear how the AI declines legal analysis and offers attorney review. Use fictional details rather than information about an actual property matter.

To test your own closing workflow, request a free trial for your practice; you'll provide instructions through the onboarding chat. You'll receive 14 days with up to 100 minutes. Add a card before forwarding goes live, make a test call and review whether the message gives your team the details it needs.

Questions

Can it answer a caller's title questions?

It can take the question and route the request to your team, but it does not offer a title opinion or interpret documents. Your firm sets the limited details to collect. An attorney reviews the matter and decides what information or advice to give the caller.

Does the receptionist confirm that a closing can proceed?

No. Your receptionist records the caller's request and follows your contact instructions; it does not decide whether a transaction is ready to close. Questions about readiness, documents or legal obligations go to your team. The firm determines how to respond after reviewing the relevant information.

Can new callers book a real estate consultation?

They can book into Google Calendar under your firm's consultation instructions, or leave contact details if you prefer to call back. Intake starts with parties' names for your conflict review. An appointment reserves a conversation with your team; it does not establish representation or accept the transaction.

Can our office keep its current phone number?

Yes. Keep the number your clients already use and forward the calls you choose to your receptionist. You can select all calls, busy calls, unanswered calls or after-hours coverage. We provide a forwarding guide for your phone setup and a test call before coverage becomes active.

How do we change the questions asked about closing calls?

Tell the AI in plain words which intake questions, services or routing instructions to change. Your settings and call history are available in the dashboard. Keep questions limited to what your firm needs, review a test conversation and confirm that your team receives a useful summary.
